Connecting your email
Connecting your email lets Done-Deal send contracts, documents, and client emails from your own address instead of a generic one. Outlook is the only email you can connect today.
Connect Outlook during setup
The setup wizard's Connect Outlook step has a Connect Outlook button that starts Microsoft's sign-in. Log into your Microsoft account and approve access. If you'd rather do this later, click Skip for now.
Use your work Microsoft 365 account. Outlook.com and Hotmail accounts are not supported. Connecting Outlook does not put deadlines on your calendar: calendar sync is a separate switch in Settings (see below).
Connect Outlook later
- Click the gear icon at the top right, then Settings.
- Open the Connections tab.
- On the Outlook Email row, click Connect.
- Sign into Microsoft and approve access.
When it works, the row shows a Configured badge with a Disconnect button next to it.
If Done-Deal says your account has no Outlook mailbox yet, your account usually needs a Microsoft 365 license: ask whoever manages your Microsoft accounts to assign one, then connect again.
Note: Some company email systems need an IT administrator to approve Done-Deal before you can connect. If Microsoft says approval is needed, email support@done-deal.co and we'll help you and your IT team.
Why this matters
- Without a connected email account, contracts and client emails send from a generic address instead of your own.
- If you have the AI TC add-on, Reme reads incoming transaction email from your connected inbox and drafts replies for your approval. It can't do this until Outlook is connected.
Note: Reme reading your inbox and drafting emails is part of the AI TC add-on.
Put your deadlines on your Outlook calendar
Once Outlook is connected, you can turn on calendar sync on the same Connections tab: click Turn on calendar sync. See Put your deadlines on your Outlook calendar.
Gmail
Gmail can't be connected. If you use Gmail, you can forward deal emails to your deal's Done-Deal email address (it's shown at the top of each deal page), or set Gmail to send them automatically.
Send deal documents from Gmail automatically
- In Done-Deal, open Settings and find Inbound Email. Click Copy. No address yet? Click Generate Address first.
- On a computer, open Gmail. Click the gear, then See all settings, then the Forwarding and POP/IMAP tab.
- Click Add a forwarding address, paste your Done-Deal address, and click Next, then Proceed.
- Gmail sends a confirmation to your Done-Deal address. Done-Deal emails you the confirm link and code within a few minutes, at the email on your Done-Deal account. Click the link, or type the code in Gmail's forwarding box and click Verify.
- Leave forwarding of all mail turned off. Instead, make a filter: in the
Gmail search bar, open the search options, tick Has attachment, and
type
filename:pdfin Has the words. Click Create filter, tick Forward it to, pick your Done-Deal address, and click Create filter.
From then on, every email with a PDF is copied to Done-Deal, and Reme files each PDF on the deal it belongs to. You still get every email in Gmail.
FAQ
Do I have to connect email to use Done-Deal?
No. Forms, e-signing, and deal tracking all work without a connected email account. But contracts and emails send from a generic address until you connect one, and Reme can't read or draft from your inbox without it.
Can I get alerts on my phone?
Yes. Deadline reminders can come by email and by push notification. Turn them on in Settings → Notifications.
